Organization guide
Choose the data, select a spreadsheet, and review every row before anything is saved.
Use a clean copy of the source. Keep the original unchanged until you verify the imported records.
Select Programs, Teams, Roster, Registrations, or Staff.
Upload a spreadsheet or connect the account that holds it.
Match the columns, validate the rows, then confirm the write.
Column matching and validation do not save records. Only the final Confirm import action writes valid rows.
Open the section related to your file or question. Start with the complete workflow if this is your first import.
Open Organization, choose Import data, then select Programs, Teams, Roster, Registrations, or Staff.
Keep the template headings, replace the example row, and save a working copy. Your own headings also work when you map them during review.
Upload CSV or unencrypted XLSX, choose a native Google Sheet, or search your OneDrive for an XLSX workbook.
For XLSX, Google Sheets, and OneDrive workbooks, select the worksheet and a header row from 1 through 100.
Confirm the source heading beside every required destination field. Set unrelated optional columns to Do not import.
Choose Validate and review. Read the ready, skipped, and total counts plus every visible row error. Nothing is saved yet.
Choose Confirm import only when the destination, sample values, and counts are correct. Valid rows are added and invalid rows are skipped.
Verify the new records on the destination page and remove any disposable test records through the normal product workflow.

Native .xls, .numbers, .xlsm, encrypted workbooks, ZIP64 workbooks, PDF extraction, and SharePoint or shared-library browsing are not supported. Export or save an approved CSV or XLSX copy instead.

Import programs first. Create their divisions, then import teams. Import roster players and registrations after the target programs exist. A program Players import fixes the program destination automatically.
Program type codes: MINI, REC, SKILL, CAMP, REP, AAU, HS, PRIV, COLL, LEAGUE, TOURNAMENT, PROS, SPEC, SEASON, CLINIC.
Staff role codes: HEAD_COACH, ASST_COACH, VOLUNTEER, REFEREE, SCOREKEEPER, PROGRAM_ADMIN, ORG_ADMIN, TRAINER, MANAGER, FIRST_AID.
Provider consent is separate from Ball in the 6 sign-in. Google asks for identity information and file-scoped access through Google Picker. Microsoft asks for identity information, offline access, and delegated read-only Files.Read access to the signed-in user’s OneDrive. Neither connector requests file write permission.
The connected account label and encrypted access and refresh tokens are stored for the signed-in Ball in the 6 user. Other organization staff do not inherit that connection. Disconnect removes the stored Ball in the 6 connection, not the provider account or workbook.
Do not import passwords, payment-card data, health records, unneeded youth information, or proof of consent. A spreadsheet does not establish verified parent-child status, a signed waiver, payment, eligibility, or official Gamebook statistics.
The organization owner has every organization permission. Other active staff members and coaches need a role containing the permission below. Ask the owner when an action is missing or denied.

Programs, Teams, Roster, and Registrations provide Export CSV and Export XLSX actions. Exports are limited to the active organization. The program Players area exports only that program’s confirmed roster. Staff export and PDF report export are not part of this workflow.
